No. The calendar connection is what triggers it. Connect Google Calendar or Outlook once and the Notetaker joins the events that match your recording preferences: external meetings on, internal and private meetings off unless you turn them on. The guest list is how Demodesk tells an external meeting from an internal one, so standups stay off the record. Without a connected calendar there is no auto-join, but you can still put the Notetaker on any call by pasting its meeting link — quickest from the Chrome extension.

Zoom, Microsoft Teams and Google Meet. For calls that don’t happen in one of those, Demodesk records phone and dialer calls through integrations such as Aircall, CloudCall, Zoom Phone, RingCentral, Outreach and Salesloft, in-person conversations through the mobile app, and any other audio through a recording-upload API. The desktop app records any meeting app on your screen without a bot.

Yes. The Notetaker shows up in the participant list and announces itself on every call, and consent is captured in two steps. Under Recordings & AI, admins set the Notetaker name, your company logo and the on-screen consent message, so your legal team writes the sentence guests actually read. Reps can switch recording off for any individual meeting from inside the call, and individual reps can opt out entirely.

Yes. The Demodesk desktop app for Mac and Windows records Zoom, Teams, Meet or any meeting app with one click, and syncs transcripts and summaries to Demodesk automatically. The Chrome extension lets you hit record on any Google Meet. Both are on the downloads page.

Recording and transcription work in 98 languages, including all European languages, across Zoom, Google Meet and Microsoft Teams. Summaries, scorecards and coaching feedback follow the language of the call, and every transcript and report can be translated, so a manager can review a call in a language they don’t speak.

All data stays in EU-only data centers (Azure Frankfurt) and never crosses the Atlantic. Demodesk is German-founded, GDPR-native and certified to ISO 27001:2022. Your conversations never train any AI model, including ours, and names, companies and personal data can be stripped automatically before a transcript reaches an LLM. Retention is configurable per company, from 12 hours up to one year, with bookmarked calls excluded from auto-deletion, and role-based access plus full audit logging decide who can open which recording. A standard DPA and works council documentation are included.

The meeting appears in your Demodesk Meetings tab with the recording, transcript, summary and AI Coach scorecard. The AI Assistant drafts the follow-up email in the rep’s language, the AI CRM Concierge suggests the Salesforce, HubSpot or Pipedrive update for one-click approval, the AI Coach scores the call against your methodology seconds after it ends, and the AI Analyst answers questions across every conversation you’ve recorded.
